System Overview |
1stBase is a Management Information application designed specifically for Sales and Service Organisations. The system was originally designed to operate with the KIRBY Service organisation and has a wide customer base throughout the UK and Europe. 1stBase is presented as an MDI* environment and is now in it's fourth version (the third on Windows). The system has been enhanced to make it suitable for any Sales/Service organisation. Features: |
Access Control | Multi-level prevent unauthorised data changes. |
Customer Information | Extensive data including invoice/delivery address, groupings, incept/last call/contract expiry dates, bank/card details, call and invoice history. |
Contact History | Logged by date, event type and operator. |
Product History | Multiple equipment per customer with warranty details, equipment and service history logged by date, event type and operator. |
Sales Appointments | Multiple appointments per customer, with user defined call types. |
Service Appoinments | As those for Sales but can additionally be tagged to equipment. |
Appointment Times | Pre-defined, ad-hoc or a mixture of the two. |
Customer Groupings | User defined categories and category items. Customer records also have basic category grouping for Pre-Sales, Sales and Supplier record types. |
Canvassing and Reports | Customer lists can be selected by multiple criteria for display and reporting purposes. |
'Hot' Customers | Simple flagging of customers by operator so that immediate attention can be given where needed. A reminder window can be popped up periodically. |
Diary | Sales and Service Diary with customisable display, print and email options. |
Logging | Extensive logging capabilities (letters printed, appointments made/changed etc). |
Finding Records | Multiple search criteria - Find your information the way you want to (name, phone, postcode, group etc.) |
Shortcuts | Commonly used functions on function keys, toolbar and keyboard short-cuts. |
Letters | Custom letters that can include virtually any customer or equipment information. |
Send Emails, singly or in bulk. (Outgoing email server required) | |

Product Tracking | Know where your unsold stock is (in stock, on demo etc). |

Invoicing |
Customise your own forms or use your existing stationery. 1stBase lets you put information anywhere on the page. Periodic invoicing facility included (e.g. for ongoing work or staged payments). 1stBase also tracks invoice payments. |
Sales/VAT Reporting | On all sales made within a specified period. Summarises average price, quantities and VAT charged |
Stock Control |
1stBase can maintain stock in multiple locations (e.g. main store plus other warehouses or van stock). Global stock searches allow you to find free stock whereever it may be. Stock can be moved from location to location and 1stBase can also print a confirmation report. |
Stock Ordering |
Stock can be ordered manually or automatically based on minimum levels you define. The Stock Order is user definable. Multiple suppliers are catered for (one supplier per product). |
Price Lists | Printing on customised forms. |
Commission Payments | Sales & Service commission rate calculation and report printing. |
Sales Reports | Tells you exactly how your Sales Force is performing. |
Environment | 1stBase operates stand alone or on a network on **Windows 98, 2000 & XP operating systems. |
