Sales Appointments

This is the window that is shown if you click a Sales Appointment from within a customer record. A new appointment, opened by clicking 'S+' is the same, but the Delete button is disabled.

Entry options in this window vary depending on the users Access Level and options set in Global System Settings


Date The appointment date.
Completed

When an appointment is completed the following occurs:-
a) The entry for it in the customer record is displayed with a green background.
b) The appointment is removed from the Diary (and also 1stBoard).
c) Editing of the appointment details is prevented. Administrators can, however, still edit these details.

Time & Modifier

In the example shown pre-defined appointment slots are enforced in Global System Settings do the user can only select one of these times. If the user was a Administrator then he/she would be able to freely select a time and time modifier.
Time modifiers allow the appointment time to be generalised (e.g. am or pm). Where a modifier is used then it is shown instead of the time in the Diary and on printed appointment lists. You should note, however, that appointments are listed by their time, so you should set it to approximate the modifiers time of day.
A list of 'standard' Time Modifiers can be entered in Maint - LookUp Codes - Time Modifiers but, if your access level lets you, these can be any freeform text you wish.

Reason

Each appointment must have a reason which is selectd from a pre-defined list. The list can be modified in Maint - LookUp Codes - Call Reasons.
Sales and Service Calls have different reason lists.

Sales Person Select the appointment Sales Person from the list.
Notes Free form text for the appointment which is saved to tthe customer notes.
Note: You must have 'Log Appointments To Customer Events' selected in Global System Settings in order for the note text to be saved.
Delete Apppointments can only be deleted if they have not been completed or there are no Invoices against them.
When an appointment is deleted then the user is required to give a reason for the cancellation which is stored in the customer notes.
Appointment deletetions are logged regardless of the setting for appoiintment logging.
Shows diagnostic information.
Saves changes and closes the window.
Abandons any changes and closes the window.
