Global System Settings

The following window is displayed when you select System - Global System Settings from the Maint Menu.

The settings made in this window determine how 1stBase operates in a network environment. In a single user, non-networked, environment then the Global Settings can only affect operation on this PC

1stBase also has a Local System Settings window that determines how the system operates on an individual PC..


Customer Window

Esc Key Action: Determines what happens when you press the Esc key from either the Notes or KeyFields windows.
Type/Group/Area Must Be Set: Customer Record Validation: If selected then 1stBase will not accept a blank entry for this item in the customer record.
Set Incept Date To Current.. If selected then the Incept Date is automatically set to the current date when you add a new customer record.
Only Supervisor Can Edit.. If selected then contract expiry date can only be edited by users with Supervisor access level.

Appointments Log Appointments: If selected and you make or change a customer appointment then 1stBase will automatically add an event note to the customer notes.
Select Appointment From Pre-Defined List: If selected then time for appointments made by non-administrative staff can only selected from a pre-defined list.
Minimum Separation: Prevents appointments being made within x minutes of each other for the same person.
Clash Warning: If another appointment is within x minutes of the one being booked for the same person then a warning is displayed.
Product List Shows... Modifier for the list of Products shown against each customer. Allows you to show/hide the warranty expiry date.

Hot Customers

Show Records For.. When 1stBase starts up it automatically displays a list of Hot Customers. When a hot customer is set 'Hot' it is flagged against the user that set that status. This setting determines whether the Hot Customer window shows every hot customer or just the ones set by the current user.
Timer Interval: If this setting is greater than zero then the Hot Customer window will be displayed every x minutes.

Printing

Operator Name: if selected then the users name is printed at the top of each report
Log Letters: If selected a log entry will be made to the customer notes when a letter is printed.
Log Emails: If selected a log entry will be made to the customer notes when an email is sent.
Log Customer Reports: If set then a log entry will be made to the customer notes when a short or long form report is printed.

Engineers Commission Report Receipts During Appointment If selected then any payments entered as 'Admin' (i.e. not collected during the call-out) are ignored in commission calculations.
Invoices With No Payments If selected then unpaid invoices are included in commission calculations. Unselected includes only invoices where a payment has been made although the payment may not be for the entire invoice amount.
Stock Control Automatic Processing: When selected 1stBase will modify stock levels when an order is processed.
Updating From Machine Registration: When selected machines moved in and out of stock from the Machine Registration window will affect the stock levels.
Use Main Store Levels: When automatic is in use the stock levels used to decide whethter to re-order stock is based on the total stock level (i.e. main store plus all other locations). If this is selected then the level used is that in the main store only.

Pricing - Trade Pricing If selected then the customer record shows a pricing structure which is applied to customer orders. In addition to normal retail pricing, trade price, retail minus discount or cost plus markup minus discount calculations can be used.
eMail 1stBase can send emails singly or in bulk. The details of an outgoing smtp server must be specified for this function to operate.
Some smtp servers require that you log into a pop (incoming) mail server before sending so this option is also supplied.
Also some smtp servers have anti-spam measures based on the quantity and/or rate of email submission so you can limit the number of emails sent in one batch and specify an idle period between batches.
