Stock Control

The following window is displayed when you select Administration, Stock, Control from the Main Menu.

1stBase can maintain a number of locations for your stock. This allows you to have a master store together with, for instance, van stock for each of your Service Engineers.

The Master Stock location (also known as 'Main Store') always exists and is your default stock location. All stock item maintenance is performed on the Master Stock. Location stock inherits the details of the Master stock records where appropriate.

Master stock is maintained under Administration, Stock, Maintenance.


Add Location

Adds a new stock location. You will be asked to supply a name for the new location.

Edit Location Allows the location name and stock template to be changed. (Non Main Store only)
Delete Location

Deletes the currently highlighted location after requesting confirmation.
NOTE: If you delete a location you also delete ALL stock and stock levels associated with it. In order to put the stock back into the Main Store (or other location) use the 'Move To Location' button before deleting the location.
NOTE: You cannot delete the main store.

Move To Location

Allows you to move stock from one location to another and displays this window:-

Moving stock is a matter of selecting the target location and setting the quantities.

Only Show Stock..If moving stock out of the main store then the item list can be quite long. Filtering the list to stock that already exists in the target location may make the list more managable.
Find: Stock can be located by Part Ref and Description. When searching by Description the search term can exist anywhere in the product description (e.g. 'bolt' will be found in '25mm bolt' and 'bolt on cover'). If searching by Description click the Find button repeatedly to find further matches.
Cancel:
Closes the window without moving any stock.
Move: Moves the selected quantities of stock to the selected location. You will be given the option to print a 'Stock Movement Confirmation' docket.
Move All: Moves ALL stock to the selected location.
NOTE: The move operation will create stock records for items that do not exist.

Part Locate

Searches all the stock locations for the currently highlighted part. A list of the locations that show stock for that item is then shown:-

Show Location: Changes the location shown in Stock Control to the selected location.
Tip: You can also double click the location you wish to view.
Cancel: Closes the window.

Part Add

A Location may not necessarily contain records for every stock item - it only needs records for the stock it contains.
This button lets you add stock items as required.
NOTE: In order to add an item it must exist in the Stock Master file (i.e. Main Store)
NOTE: You cannot add stock items to the Main Store from this window - use Maint, Stock, Master for this function.

Part Delete

Deletes the current stock item after confirmation.
NOTE: Deleting an item in this manner also deletes the associated stock levels. If you wish to retain the stock level for this item you must use 'Move To Location' prior to deleting the item.
NOTE: You cannot delete items from the Main Store from this window - use Maint, Stock, Master for this function.

Part Find Stock can be located by Part Ref and Description. When searching by Description the search term can exist anywhere in the product description (e.g. 'bolt' will be found in '25mm bolt' and 'bolt on cover'). If searching by Description click the Find button repeatedly to find further matches.
Action Prints a stock specific report:-
Current Location Top Up Report.
All Locations Top Up Report.
Short Fall Report.
Or
Tops Up the current Location or all Locations. Note Top Up only afftects Locations that have assigned Templates.
